Where will this event take place and when does it begin?

The 2018 HLTH event will take place May 6-9, 2018 at The ARIA Resort & Casino in Las Vegas, NV.

Dress code is business or business casual.

Will the event be providing free WiFi?

Yes, complimentary wifi will be available to all attendees at the event. The wifi network name and password will be printed on the back of every attendee badge.

I’m starving and need food.  Where can I make reservations while at The Aria?

The standard registration rate is $3,100.00.

Do you offer any partial or exhibit hall only access for the event?

No. We do not offer any exhibit hall only or partial attendance rates. All individuals who will be attending HLTH must be registered, including booth staff, public relations support staff, employees of your organization and any individuals whom you are meeting onsite at HLTH.

What does my registration include?

Registration includes access to all sessions, exhibit hall, meal functions and receptions.

Can I make changes to an existing registration or even transfer a registration to someone else?

If you have the username and password for the existing registration, you can click here to make any changes, including name changes.

If I have a conflict and can’t travel to The Aria, are my event passes refundable or transferable?

All event passes are nonrefundable, but may be transferred to another person. You can click here to make any changes to an existing registration.

I’d love to be able to engage with other attendees prior to the event.  Is there a way to communicate with them?

You will be able to send messages to other registrants through the HLTH mobile app. You will need to be a registered attendee in order to access the mobile app. The HLTH mobile app will be available closer to the event.  

Do you sell attendee lists to the HLTH 2018 event?

HLTH does not share or sell attendee contact information.

We have NOT authorized any company to contact you. We highly recommend you do not speak to or reply to any organization claiming to sell the HLTH attendee list.

The exhibit hall will be located on Level 1 of the Aria Convention Center West.

*Kiosks, meeting pods and meeting cubes will not be accessible for set up until Monday at 6:00 a.m.

**The set up hours on Monday from 6:00 a.m. to 9:00 a.m. should only be used for putting the finishing touches on your booth such as cleaning, setting up collateral, etc.

When will kiosks, meeting cubes and meeting pods be available for set up?

Kiosks, meeting cubes and meeting pods will be accessible for set up beginning Monday, May 7 at 6:00 a.m.

Are there certain times that I can schedule my meetings to take place at my booth/kiosk/meeting cube/meeting pod in the exhibit hall?

Meetings should be scheduled only during the Exhibit Hall Open hours posted above. All meeting participants must be a registered HLTH attendee with a badge to access the exhibit hall.

Are there any guidelines on having balloons in my exhibiting space?

Unfortunately balloons are prohibited throughout the facility. Click here to view the exhibitor display guidelines.

What if I wanted to incorporate a vehicle as part of my exhibit?

Vehicles that are brought into the facility to display within your exhibit space must be approved in advance by Show Management. Exhibitor is responsible for completing and submitting all necessary paperwork and must abide by all vehicle rules and regulations found in the Shepard Exhibitor Kit.

What about WiFi inside the exhibit hall?

Yes, wifi will be available in the exhibit hall. We recommend ordering a dedicated network for your booth if you require a more reliable connection. Internet services can be ordered through The ARIA Expo Services. Under no circumstances should you set up separate WI-FI routers, MI-FIs or hotspots using the HLTH network, as it will interfere with other exhibitors’ and attendees’ ability to connect.

Where can I order services and materials for my booth?

Shepard is the official show general contractor and ARIA Exhibitor Services the in-house service provider for The ARIA Expo Center. Below is a breakdown of services that each vendor provides.

Shepard provides : booth furnishings, shipping, hanging sign labor and rigging (non-­electrical under 200 lbs)*, installation and dismantle labor services, all material handling* and audio/visual services. Orders can be placed through the online Shepard Exhibitor Kit.

ARIA Exhibitor Services provides : electrical*, internet*, plumbing (compressed air, water, drainage)*, rigging (lighting and hanging applications)*, telecommunications*, catering* and booth cleaning*, audio/visual and floral & plant services. Order forms can be found in the Shepard Exhibitor Kit.

Can I bring in my own food and beverage for my booth?

No, The ARIA is the exclusive provider of all food and beverage in the exhibit hall. All food and beverage must be ordered through the ARIA. Order forms can be found in the Shepard Exhibitor Kit.

Where can I ship extra materials so that they arrive at the event in time?

Due to the limited move-in time, we recommend shipping in advance to Shepard’s Warehouse. Items must be delivered to the warehouse beginning Monday, April 9, 2018 and no later than Friday, April 27, 2018. Please refer to the Shepard Exhibitor Kit for material handling order forms and shipping labels.

What can I hand-carry into the exhibit hall?

As an exhibitor you may “hand carry” material. Hand carry is defined as small items such as small packages or cartons that an exhibitor is able to carry. Any mechanical assistance is limited to a small dolly or the assistance from the hotel bellman. The assistance of any motorized device or pallet jack is not permitted. When exhibitors hand carry, they may not access designated material handling areas. Exhibitors must use the main entrance of the facility.

If your freight is being delivered by a carrier, you must use Shepard to unload the freight and transport to your booth. You will also be charged a material handling fee. What are the Exhibitor Appointed Contractor (EAC) guidelines?

What about the distribution of materials outside my booth area?

No, unfortunately distribution of materials outside of your booth is prohibited including leaving material on tables or handing out brochures in the aisles or entrances of the show.

What are the height limits for my booth?

10’x10′ and 10’x20′ inline booths have a recommended maximum back wall height limitation of 8 feet high. Side walls between neighboring booths cannot exceed more than 4 feet in height.

Booths that are 400 square feet or larger have a recommended maximum height restriction of 20 feet high, measuring from the floor to the top of the booth structure or hanging sign.

Your booth display should be arranged in such a manner so as not to obstruct sight lines of neighboring exhibitors.

If your booth does not meet these height restrictions, you must submit a rendering or picture of your booth, with dimensions to Show Management for approval by May 1, 2018.

Are signs/signage allowed above my booth area?

Typically, hanging signs are only allowed above booths that are 400 square feet or larger. Hanging signs may not exceed the length of any side of your booth space or hang over the common aisle space. The top of any hanging sign may not exceed the maximum height restriction of 20 feet.

If your booth is smaller than 400 sq. ft. and you would like to hang a sign or other decoration above your booth, you must submit a rendering or picture of your booth, with dimensions to Show Management for approval by April 6.

Exhibitors are not permitted to display signage in any areas outside of their allocated booth/meeting space without prior approval from HLTH.

In order to facilitate exhibitor move-in, hanging signs MUST be shipped in advance to Shepard’s warehouse using the custom hanging sign labels found in the Shepard Exhibitor Kit. No exceptions!

Who do I contact to order labor for my hanging sign?

For non-electrical hanging signs under 200 lbs, please contact Shepard. For all other hanging signs, please contact The ARIA Exhibitor Services.

Can you provide any information on building custom booths or even with rentals?

Shepard can work with you to provide more information on design and pricing for rentals or custom builds.  

Will I have access to a business center while attending HLTH 2018?

You are also responsible for ensuring that any outside vendor you hire does not perform any services which are exclusive to the show contractor, Shepard or The ARIA Expo Services. What do I need to know if I plan on selling anything at my booth?

If you will be selling products from your booth and the product will actually be given to the buyer at your booth at the time of the sale, you will need to contact the Department of Taxation for the State of Nevada, http://tax.nv.gov/ and adhere to sales tax regulations. However, if you will only be taking orders and shipping the product after the event, you will not need to contact the Department of Taxation for the State of Nevada. HLTH reserves the right to prohibit the sale of any product for any reason.

Do you allow camera crews into my booth area?

Filming inside your booth is allowed, however, it must be contained to your booth. Exhibitors are not allowed to film other exhibit spaces without approval. Under no circumstances are tripods, lights and elaborate set ups permitted in any public area.

What if I need additional security for my booth?

There will be security roaming the exhibit hall during non-show hours. However, exhibitors may hire dedicated security for their individual booths.


Hotel Reservations

Can you provide me with more information on hotel reservations?

How can I change an existing registration by phone?

You can contact The ARIA directly by phone at (866) 359-7757. Please reference the HLTH18 event when booking your reservation.  

If I need to cancel my reservation what would be the Aria’s cancellation policy?

No-Show/Cancellation: All reservations must be cancelled 72 hours prior to the arrival date to avoid a one night room and tax cancellation and/or no show charge. – Click here to make a reservation. 

What do I do if I receive a solicitation from a third party to book a hotel room?

We have been informed that a company offering hotel reservation services for the HLTH event has contacted several of our sponsors and asked for credit card information to book rooms. WE HAVE NOT AUTHORIZED ANY COMPANY TO CONTACT YOU. DO NOT REPLY TO OR SPEAK WITH ANY ORGANIZATION CLAIMING TO BOOK HOTEL ROOMS FOR HLTH, AND DO NOT SHARE YOUR CREDIT CARD INFORMATION. If you need to book hotel rooms, please book them only through our HLTH website, by contacting the hotel directly or utilizing services you know to be safe and legitimate.


Speakers & Agenda

How would I pass along speaker and/or content suggestions for HLTH 2018?

Please click here to submit a speaker or topic suggestion. Although there is no formal deadline for speaking requests, we strongly recommend submitting them as early as possible.

I submitted a proposal to speak, but I haven’t heard from anyone at HLTH. Was it accepted?  

When you submitted your proposal, you should have received an immediate email with a confirmation number. If you received this, the Content Team has your proposal in hand and will be in contact as soon as a decision is made regarding your submission. Please note that this process can take up to 4 weeks. There is no need to follow up.

What should I do next if I am confirmed as a speaker for this event?

For any speaker logistic questions (e.g. confirming date and time of session, submitting bio and headshot, etc.) please contact Dibrell Mansfield at dibrell@hlth.co. You can also visit our speaker resources page.

Where would I find the most current copy of the agenda?
